Our busy Private Client department, which is led by our STEP qualified Partners across Scotland, are recruiting for an experienced PA/ Administrator, familiar with Wills, Trusts and Executries to join the Private Client Team.

The role will require supporting fee earners as they work in collaboration with our Family, Corporate, Real Estate and Residential Property teams across Scotland to deliver a complete service to our clients.

The position will allow opportunity for career progression within our Specialist Private Client team for individuals who demonstrate a willingness and ability to maintain good client relationships, work with specialists across the Firm and participate in business development.

The successful candidate will enjoy a high level of client and team interaction. We act for a range of clients, including individuals, trustees and executors from all over Scotland and beyond.

JOB PURPOSE

•Provide support to the Private Client Department on a day to day basis on key business requirements.
•Provide a consistently high level of service to maximise business opportunities. 
•To work as part of a team and individually to ensure the best customer service.
•Support Legal Business Co-ordinator with assisting all fee earners across the Private Client team.
 

KEY RESPONSIBILITIES

• Answering telephone calls, taking messages, setting up appointments and managing team diaries
• Opening money laundering and legal files 
• Secretarial support to Solicitors and Paralegals: mainly typing of dictation, fee notes, client correspondence
• Entering precise data quickly and correctly
• Office administration duties: filing and scanning
• Mail duties- Organising all mail for signature, collection and allocation of mail to appointed staff within the department, ensuring all mail leaves the department on the day scheduled
• Assisting with the receipt of new instructions / referrals 
• Using various computer systems to create/update and maintain client records accurately
• Dealing with basic client queries and taking messages where appropriate
• Preparing fee notes
• Registering Powers of Attorney
• Completion of forms
• Lodging & uplifting of wills and documents
• Debt Management 

Requirements

QUALIFICATIONS

•Highers or equivalent in English and Mathematics 

SKILLS AND EXPERIENCE

• Pleasant telephone manner and efficiency in relaying and taking messages
• Computer literate and familiar with MS office packages 

• Previous office experience
